Multichannel outbound means reaching the same prospect by email, LinkedIn and phone in one planned sequence, instead of betting everything on a single channel. For small and mid-sized B2B companies (SMBs) with one to three people in sales, it is often the most practical way to turn a target list into meetings, because each channel covers what the others miss.
This guide to multichannel sales outreach gives you a sample three-week sequence, the 2026 benchmarks for each channel, phone and LinkedIn etiquette, deliverability basics, the tasks AI should and should not take over, and the email and call rules in six markets.
What is multichannel outbound, and why use more than one channel?
Multichannel outbound is a planned series of touches across email, LinkedIn and phone, aimed at one person at a target company, where each step builds on the one before. One channel rarely gets you to a meeting on its own.
RAIN Group found that it takes an average of 8 touches to get an initial meeting with a new prospect. Eight emails in a row read like spam; eight touches over three channels read like persistence.
Email, LinkedIn or phone: what the 2026 benchmarks say
Each channel does a different job: email reaches many people at low cost, LinkedIn builds recognition and the phone produces real conversations.
| Channel | What the data says | Best job in a sequence |
|---|---|---|
| Instantly: 3.43% average reply rate; 58% of replies come from the first email | Open with a clear reason, add proof, close the loop | |
| Expandi: 28.5% of connection requests accepted; 10.4% reply to messages, 8.8% for software sellers | Recognition, context and low-pressure follow-up | |
| Phone | Cognism: 2.7% average success rate; 1.55 attempts to reach a prospect | Real conversations, qualification and booking |
Do not compare the rows with each other: each figure comes from one vendor's own data, with its own definitions. Instantly's Cold Email Benchmark Report 2026 puts the top quartile at 5.5% or more. Expandi's LinkedIn benchmarks cover 13.2 million connection requests sent through its platform between May 2025 and April 2026, and Cognism's 2026 cold calling report does not define what counts as success. Compare your own steps month by month instead.
A sample multichannel outbound sequence for a small team
Start with about eight touches over three weeks, alternating channels so that each step adds something new. Say you sell warehouse analytics software to logistics SMBs:
| Day | Channel | Purpose | Example |
|---|---|---|---|
| 1 | Give a specific reason to talk | You opened a second warehouse this year. How do you compare pick rates across both sites? | |
| 2 | Connect without a pitch | A connection request without a note | |
| 4 | Phone | Start a conversation | I emailed you on Monday about pick rates. Is that a priority this quarter? A 20-second voicemail if nobody answers |
| 8 | Add something useful | A reply in the same thread with three questions to ask before choosing a warehouse system | |
| 12 | LinkedIn and phone | Follow up where they respond | A short message if they accepted, then a second call |
| 18 | Close the loop politely | Shall I close this for now, or is early next year better? |
With the voicemail and the LinkedIn message, that is eight touches in 18 days. Instantly found that 58% of replies come from the first email and 42% from follow-ups, so spend most of your writing time on step one and still run the rest.
The reason for reaching out matters more than the order of channels. Signal-based selling shows how to build the first message around a trigger, and our guide to IT sales leads covers the list. This version assumes cold email is allowed where you sell; where it needs consent, keep the email steps for people who have agreed (see the country table below).
Phone and LinkedIn etiquette that keeps doors open
Be recognisable, brief and easy to say no to, because in a small market buyers talk to each other. On the phone:
- Say who you are and why you are calling in the first sentence. In the UK, the ICO's guidance on business-to-business marketing requires callers to say who is calling and to display their number.
- Ask one good question. A first call is a short conversation, not a demo; book a meeting only if there is interest.
- Keep voicemails under 30 seconds and point to the email you sent.
- Keep a do-not-call list and screen every new list against it.
On LinkedIn:
- Use a complete, real profile. LinkedIn's User Agreement asks members to use their real name and to use the service in a professional manner.
- Connect without a pitch. The goal of the request is acceptance, and a pitch in the note works against it.
- Do not automate sending. The same agreement prohibits bots or other unauthorised automated methods to add contacts or send messages.
- Treat direct messages like email. The ICO counts direct messages via social media and voicemails as electronic mail, so identify yourself and respect a no.
Protect deliverability before you add volume
If your emails land in spam, the other channels do all the work, so set up email first.
Google's email sender guidelines call you a bulk sender if you send close to 5,000 or more messages to personal Gmail accounts within 24 hours. Bulk senders need SPF, DKIM and a DMARC policy of at least p=none, and should keep the user-reported spam rate below 0.1%, never reaching 0.3%. The rules cover personal Gmail accounts, not Google Workspace, but they are a sensible floor for B2B mail too.
- Send from separate domains that clearly belong to your brand, never from your main domain.
- Warm new inboxes up for a few weeks and keep the daily volume per inbox low.
- Write short, plain emails that name your company and offer an easy opt-out.
If replies drop, see why cold emails go to spam in 2026.
Where AI helps in multichannel sales, and where people stay in charge
Use AI for research, list building and first drafts. Keep people on calls, replies and anything that commits your company.
In Salesforce's 7th State of Sales report, a survey of more than 4,000 sales professionals, 54% of sellers said they have used AI agents, and sellers expect agents to cut the time spent researching prospects by 34% and drafting emails by 36%. Smaller firms lag behind: Eurostat reports that 17% of small EU enterprises used AI in 2025, against 55.03% of large ones.
- Research, drafts and call notes. Account summaries before the first touch, drafts that a person checks, and a CRM summary after each call.
- Calls stay human. In a Gartner survey of 645 B2B buyers, 69% said they prefer to validate AI-generated insights with sales reps, and a good call is exactly that check.
- Say when it is AI. Article 50 of the EU AI Act, applicable from 2 August 2026, requires AI systems that interact directly with people to be designed so that people know they are dealing with an AI, unless that is obvious. An AI voice agent should say so up front.

Is multichannel outbound legal in Europe? Email and call rules by country
Yes, but each channel has its own rules, and they change at every border. GDPR Recital 47 says that processing personal data for direct marketing may be regarded as a legitimate interest, which still needs a balancing test and an easy opt-out, but national email and call rules sit on top of it and can require consent.
| Country | Cold B2B email | Cold B2B calls |
|---|---|---|
| Czech Republic | Prior consent, companies included; own customers excepted | Numbers from directories or lists need an opt-in; see below |
| Germany | Prior express consent; own customers excepted | Only with at least presumed consent of the business |
| Poland | Prior consent, companies included; no customer exception | Prior consent as well |
| Spain | Prior request or express consent; customers with a prior contract excepted | Only with prior consent or another GDPR legal basis |
| United Kingdom | Allowed to companies with an opt-out; sole traders need consent | Allowed after screening CTPS, TPS and your do-not-call list |
| Turkey | Allowed to merchants and tradesmen after İYS registration and an opt-out check | Same rule, as calls count as commercial electronic messages |
In the Czech Republic, the data protection office (ÚOOÚ) applies the email consent rule to companies too, and § 96 of Act No. 127/2005 allows marketing calls to numbers from public directories or number lists only if the subscriber, company or person, has opted in. The regulators' joint statement on telemarketing adds that a number a company publishes on its own website is outside that rule unless marked otherwise, but a meeting offer still counts as marketing and even a request for consent counts as a commercial message.
The other rows rest on § 7 of Germany's UWG, Art. 398 of Poland's Electronic Communications Law, in force since 10 November 2024, Spain's LSSI, Art. 21 and General Telecommunications Law, Art. 66, the ICO guidance above and Turkey's Law No. 6563. Where cold email needs consent, build the sequence on calls where they are allowed, events and referrals. This is general information, not legal advice: check with your own counsel before you launch in a new country. For email, our overview of cold email rules by country sets out the consent rules, customer exceptions and fines in 10 jurisdictions, each linked to the official texts.
How to measure a multichannel outbound sequence
Measure the sequence as one unit and count meetings, not activity.
- Replies per step. With 58% of replies coming from the first email in Instantly's data, fix a weak first step before anything else.
- Connect rate on calls. If you need far more than Cognism's average of 1.55 attempts, check your numbers and your calling times.
- LinkedIn acceptance. A rate far below Expandi's 28.5% usually points to the wrong audience or a weak profile.
- Meetings booked, held and qualified, counted separately. No-shows and meetings outside your ideal customer profile are not results.
- Cost per qualified meeting. Monthly cost divided by qualified meetings held; what B2B sales outsourcing really costs shows the math.
Credit meetings to the whole sequence, not the last touch, and change one thing at a time.
Frequently asked questions
How many touches does a multichannel outbound sequence need?
Plan for about eight. RAIN Group found that it takes an average of 8 touches to get a first meeting with a new prospect, so email, LinkedIn and phone steps over roughly three weeks are a sensible start. If the last step gets no answer, stop and return months later with a new reason.
Is cold calling still worth it for SMBs in 2026?
Yes, where the law allows it. The phone is still the fastest way to a real conversation, and Cognism's 2026 report found that it takes 1.55 call attempts on average to reach a prospect. Check the country rules first: Poland requires prior consent, and Czech law bars marketing calls to directory or list numbers without an opt-in.
Can AI run the whole sequence on its own?
Not well, and not safely. AI is good at research and first drafts, but LinkedIn's User Agreement bans bots that add contacts or send messages, and the EU AI Act requires AI systems that talk to people to make clear they are AI. Gartner also found that 69% of B2B buyers prefer to validate AI-generated insights with sales reps.
Which channel should a small team start with?
Start with the channel your buyers answer and the law allows. Where cold email to companies is allowed, as in the UK, email plus phone is the simplest start, with LinkedIn for recognition. Where email needs consent, as in the Czech Republic, Germany, Poland and Spain, lead with permitted calls, events and referrals.
Let a team run your multichannel outbound
If nobody on your team can own this every week, our lead generation service runs outbound by email, LinkedIn and phone in English, Czech and Turkish. A meeting only counts when it takes place with a company that matches the ideal customer profile agreed in writing before the start, with a decision-maker or influencer present.
Launch costs 1,750 euros a month for 5 guaranteed qualified meetings, Traction 2,900 euros for 10 and Scale 4,900 euros for 15, and a monthly shortfall carries into the next month at no extra cost. See our pricing, compare outsourced sales vs in-house SDR, or start with sales strategy development to define your ideal customer profile first.
